Non-conformity management software: from the report to closure, fully traced
The module gathers internal non-conformities, those from suppliers and customers and those raised by a failed inspection in a single register, with criticality, item, batch, defective quantity, attachments and owner. Every NC follows the Open, Resolved, Closed flow, with the history of every step.

Non-conformities on Excel and email do not survive an audit
A report arrives by email, three people update the spreadsheet, the photo of the defect is on someone’s phone. When the audit comes, reconstructing who did what and when takes days. In the module everything sits in one place, with the flow and the history already there.
Four things you do every day, without paper
- 01
Open the report in a minute
Progressive number, date, criticality (minor or major), item and batch code, delivered and defective quantity, where it was detected, department, customer or supplier, owner. Photos and documents are attached by dragging them onto the record.
- 02
Resolve and close with a guided flow
Three statuses, always visible: Open, Resolved, Closed. To resolve you record how the defect was removed, for instance by rework, and the outcome; closing is up to the quality manager. No NC closed from memory.
- 03
Link the analysis: investigation report, 8D, corrective actions
From every NC you open an investigation report or an 8D form (containment action, root cause, effectiveness check) and the corrective actions, each with owner, deadline and effectiveness evaluation. Supplier returns and repairs stay linked to the NC that generated them.
- 04
Full history, export to PDF and CSV
Every creation and change is recorded with user, date and time, previous and new value. The NC record exports to PDF for the audit, with closure and effectiveness check; the list exports to CSV for analysis.
Three statuses, and what each one needs
- 01 · Open
Report with criticality, item, quantity and owner.
- 02 · Resolved
Defect removal and outcome recorded.
- 03 · Closed
Closure by the quality manager, with the full history.
A non-conformity never lives alone
- Reporting and TestsA failed inspection or test opens the NC, already linked to the execution.
- Workflows and responsibilitiesOwner, deadline and approval for every corrective action.
- KPIs and dashboardsCounters by status for NCs, reports, 8Ds, returns and corrective actions, with charts by type and period.
- Audit trailWho opened, changed and closed every NC, with date and time.
Frequently asked questions about the module
Yes: external NCs concern suppliers and customers and can generate a supplier return, which stays linked to the NC.
The recorded resolution, that is the defect removal and the outcome, and the quality manager role. Corrective actions have a flow of their own: a parent action closes only when its child actions are closed.
Yes: a checklist execution with a failed outcome opens a checklist NC, already linked to the inspection that generated it.
Yes: the single record to PDF, with closure and effectiveness check, and the list to CSV.
Virtus is designed to integrate with ERP, MES and factory systems: in the demo we look together at how items, batches and suppliers talk to your systems.

In the demo we open a non-conformity from your department and take it all the way to closure.
