Quality workflow with owners, deadlines and approvals: who does what, by when, with what outcome
Non-conformities, corrective actions, PDCA activities, document versions and checklists follow flows in Virtus with fixed statuses, mandatory fields and roles allowed to move them forward. Owner, deadline, outcome and approvals live in the record, not in emails.

An action agreed verbally never gets closed
The action was agreed in a meeting, the deadline is in an email, the person who had to verify it has changed department. At the audit the question is always the same: who was the owner, by when, who approved. In the module every step has its own fields and its own role.
Four things you do without chasing anyone
- 01
Give every action an owner and a date
A corrective action records who requested it, who carries it out, the proposed implementation date and the actual one. The 8D disciplines each have «handled by» and «implemented on», the PDCA phases a date, scheduled checklists one or more owners.
- 02
Move the status forward only with the fields filled in
A corrective action goes from Definition to Implementation to Closure, a PDCA activity from Plan to Act without going back or skipping phases. At each step Virtus asks for the mandatory fields and reserves it to a role.
- 03
Approve documents and close actions in a chain
A new version of a document goes from the release reviewers to the verification reviewers, by majority, from the record or from the link received by email. The parent corrective action cannot be closed while a child is still in progress.
- 04
Schedule inspections and see who is late
Every checklist schedule has a model, owners, a frequency from daily to yearly, last and next execution. A traffic light shows whether the inspection is on time, due soon or overdue; on creation Virtus offers to notify the owners by email.
Three statuses, the same in every flow
- 01 · Open
Item created, with its first record and its owner.
- 02 · In progress
Intermediate steps: mandatory fields, implementation dates, attachments.
- 03 · Closed
Outcome recorded by the role allowed to close, children already closed.
A flow runs through every module
- Non-Conformity ManagementOpen, Resolved, Closed: resolution has mandatory fields, closure is up to the quality manager.
- Documents and RevisionsRelease and verification reviewers, version approved by majority.
- Reporting and TestsScheduled checklists with owners, recurrence and a deadline traffic light.
- Audit trailEvery status change and decision, with user, date and time.
Frequently asked questions about the module
A non-conformity is opened by any user, resolved by the head of department or the quality manager and closed only by the quality manager, who also moves corrective actions, investigation reports and 8D forms forward.
At closure you record the outcome of the effectiveness evaluation. If it is negative, Virtus proposes a new corrective action on the same cause; if you decline, a justification for the downgrade is required.
You choose the release and verification reviewers: the version stays pending until the majority decides. Every approval or rejection can be revoked.
When a checklist schedule is created, Virtus offers an email notification to the assigned owners; deadlines and statuses stay visible in the tables and on the dashboard.
Virtus is designed to integrate with ERP, MES and factory systems: in the demo we look at how owners, departments and deadlines talk to your systems.
